A few weeks ago we showed you how our marketing department is using Project Organizer to keep everyone on the same page. Now we’ll show you how we’re using Job Launch to seamlessly manage project kick-offs inside of inMotion.
- A job is requested
A need is identified or an idea is formulated for creative work, spurring somebody to complete a job request form.For marketing projects
Within the marketing department, we will often discuss an idea before determining whether or not we should move forward with it. If the idea seems like it has merit, a project leader will be elected and that team member will complete a marketing brief – often with details about the strategy or next steps, as well as the intended audience and outcome – and submit the brief as a job request form to the marketing director.For internal client projects
inMotionNow’s marketing department also supports our sales, development, and customer service teams with collateral, design, messaging, etc. When one of these departments recognizes a need, they can log into Job Launch, select a job request form for their department, and submit a request to marketing. - A request is reviewed
All requests are received by our marketing director, who reviews and approves the form – at which time the requestor gets a notification that their request has been approved. However, an approved request may not be made into a project immediately.Depending on the number of initiatives the marketing department is currently working on and the priority of the request, a request may be held in the Job Launch Manager Workspace until resources are available to move forward with the job. Only then will a project be created. This helps to keep the marketing department’s Project Workspace free of projects that aren’t being actively worked on.
- A project is kicked-off
When the marketing department is ready to take on a new requested job, the marketing director releases the job request and makes a project. At this stage, team members are assigned and tasks and deadlines determined. Team members are able to view the original job request form in their Project Workspace to get details and direction. The project is managed with Project Organizer (click here to learn more about how we manage that process) and the original requester is looped back in for the review and approval of the resulting creative work.
The inMotionNow marketing department is having success using Job Launch like this but the Job Launch module can flex to fit any job request process. You can have multiple people completing the same request and even multiple people managing requests.
