If you’ve ever done a review with inMotion, then you’ve likely seen the Message to Reviewer box which pops up as you enter the review environment. This message defaults to presenting your reviewer with instructions on how to navigate and mark-up a proof, and how to submit an approval status – but for your savvier users, there’s a lot more it could be doing!

Here are just a few ways you can use the Message to Reviewer box to make communication with your reviewers even more effective:

  • Include the destination URLs of links
    If your content include links to web pages, include the URLs of those web pages so that your reviewers can verify that the linked pages are relevant to the content. If you’re posting web pages for review, you have the option to automatically include those URLs at the content upload stage when you capture the pages.

  • Let them know what the workflow is
    Telling your reviewers who else is on the review before they start marking up content gives them some valuable context for sharing feedback . For instance, they can share questions for following reviewers to respond to (using the Comment-to-Comment feature). It can also impart a sense of urgency – people are waiting for you! – that can result in your reviews getting returned more quickly.

  • Tell reviewers what kind of feedback your requesting
    You may be looking for different kinds of feedback during the various stages of content completion. During the conceptual phase of a project, you may want to communicate to your reviewers that you’re just looking for sign-off on the direction, and that images or copy are there merely for position only.

    You may also need different kinds of feedback from your various reviewers. Perhaps you include one reviewer to make sure your branding and messaging is on target, and another reviewer to critique the design elements. It’s helpful for everyone to provide guidance to your reviewers so they can share relevant, actionable feedback.

  • Summarize changes from previous version
    If you’re replacing a proof with a revised version, give your reviewers a quick summary of the changes that were made to the earlier version. They can view the previous version in the review app, but the message box is a nice place to summarize the changes made. This will draw their attention to the areas that need it, and away from areas that have implied approval.
